AI data extraction from forms and receipts: common questions answered
aieducation
Straight answers for business leaders on accuracy, review steps and risk when using generative AI to extract data from forms, receipts and invoices.
Leaders evaluating AI for document-heavy work tend to ask the same questions. Here are direct answers, with the caveats that matter.
Can generative AI reliably extract data from forms and receipts?
Often, but not without checks. It reads and interprets text well, yet it can skip a field, merge columns, or change a date format partway through. Reliability comes from the surrounding workflow, not the model alone.
Why does it get dates wrong or inconsistent?
Without a firm rule, several date styles look equally plausible, so the format can drift. Specifying one format with an example, or enforcing it in software, prevents most of this.
What are structured outputs, and do they solve the problem?
Structured outputs force the AI to answer in an exact template. They keep the shape correct, but they do not confirm that the values are right. A correctly shaped answer can still contain a wrong amount.
How should we verify results?
- Compare row counts with the number of source documents.
- Recalculate totals in a spreadsheet or code.
- Spot-check a sample against originals, including rows near the end.
- Route failed checks back for correction or to a person.

Is a human still needed?
For financial, legal or clinical records, yes. Review effort can shrink as automated checks improve, but accountability should stay with a named person.
What about privacy when uploading documents?
Receipts and forms often contain personal or confidential data. Confirm where data is stored, whether it is used for training, and who can access it. Governance guidance is covered in the Responsible AI-by-Design Framework.
